# Move-in and move-out inventory reports for letting agents

Move-in and move-out inventory reports for letting agents is a SaaS idea for independent letting agents and property managers handling tenancy check-ins, priced to test at $49 a month per agency, with unlimited reports. Inventory reports are typed up from scattered phone photos, or bought from outside clerks for every tenancy. With it, agents walk a property room by room on a phone, take photos, and compare move-in and move-out condition side by side.

_Published 19 Oct 2026. A starting point we wrote, not market research: run the 7-day test before you build._

## What problem does it solve?

Inventory reports are typed up from scattered phone photos, or bought from outside clerks for every tenancy. When a deposit dispute comes, agents can’t prove what the carpet looked like on day one.

**Why now:** Deposit disputes turn on dated photo evidence, and today’s phone cameras are good enough for routine check-ins.

## What do they use today?

Agencies often pair a typed document with a shared folder of photos, or hire an independent clerk to produce each inventory. Either way, comparing move-out with move-in means digging through separate files.

## How does it work?

Before a tenant moves in, an agent walks the property with a phone, adding photos and condition notes room by room, then records the meter readings and key count. The tenant signs from an emailed link, and the landlord receives a dated PDF. At move-out the agent repeats the walk and sees each room next to its move-in photos.

## What goes in the first version?

- Room-by-room checklist with photos and condition notes on the phone
- Meter readings and key counts at handover
- Tenant signs the report from an emailed link
- Move-out report shown next to the move-in photos
- Dated PDF report for landlords and deposit claims

## Who pays, and how much?

- **Who pays:** Independent letting agents and property managers handling tenancy check-ins
- **Price to test:** $49 a month per agency, with unlimited reports

Agencies check tenants in all year, in busy spells and quiet ones, so one monthly price per agency with unlimited reports is easy to plan around. Nobody has to count reports before starting a walk-through.

## How to test it in 7 days

1. Ask five letting agents what they pay outside clerks per inventory and how disputes go.
2. Join one check-in, rebuild that report as a clickable mock-up, and show it to the agent.
3. Check what deposit protection schemes in your country accept as evidence in a dispute.

## Where to find the first customers

- Letting-agent groups on Facebook and LinkedIn
- Independent inventory clerks who want a faster tool
- Regional letting and property management associations

## What are the risks?

- Property management suites include basic inventories, so you need to be faster and clearer.
- Large photo sets are heavy; uploads must survive weak signal in empty flats.

## How to build it on shipanysaas

5 of the parts it needs are already in the kit, the phone app with the All-in plan. Get the kit, open it in Claude Code, Codex or Cursor, and paste the starting prompt.

**Already in the kit:** Teams and roles, Billing, Emails, In-app notifications, Phone app with All-in

**You build:**

- Room-by-room report builder with photos
- Move-in and move-out comparison view
- Tenant sign-off link and PDF export

[Get the kit](https://www.shipanysaas.com/pricing)

### The starting prompt

```text
You are in a fresh copy of the shipanysaas starter kit, a pnpm and Turborepo monorepo: the Next.js web app is in apps/web and the Supabase database, with its migrations, in apps/web/supabase; with the All-in plan, the Expo phone app is in apps/native. Help me build the first version of Move-in and move-out inventory reports for letting agents.
Read AGENTS.md first, then the AGENTS.md in every folder you work in: the kit's rules there win over your defaults. When a skill in .agents/skills (also in .claude/skills and .cursor/skills) matches a task, use it.
## The product
- What it does: Agents walk a property room by room on a phone, take photos, and compare move-in and move-out condition side by side.
- Who pays: Independent letting agents and property managers handling tenancy check-ins
- Their problem: Inventory reports are typed up from scattered phone photos, or bought from outside clerks for every tenancy. When a deposit dispute comes, agents can’t prove what the carpet looked like on day one.
- Price to test: $49 a month per agency, with unlimited reports (a plan in apps/web/config/billing.config.ts)
## Build only this first version
1. Room-by-room checklist with photos and condition notes on the phone
2. Meter readings and key counts at handover
3. Tenant signs the report from an emailed link
4. Move-out report shown next to the move-in photos
5. Dated PDF report for landlords and deposit claims
## Already in the kit: reuse it, never rebuild it
- Teams and roles: team accounts with members, roles and invitations
- Billing: Stripe or Lemon Squeezy subscriptions, per seat or usage-based, and one-off payments
- Emails: transactional email through Resend or Nodemailer
- In-app notifications: a notifications bell in the web app
- Phone app: an iPhone, iPad and Android app on the same backend (All-in plan)
## New code it needs
- Room-by-room report builder with photos
- Move-in and move-out comparison view
- Tenant sign-off link and PDF export
## How to work
1. Plan first: list the database tables (with row-level security, so each team only sees its own rows), the pages and the server actions for the first feature. Then stop and wait for my OK.
2. Build one feature at a time with the kit's own UI and form components, with a migration for every schema change and user-facing text in the translation files.
3. After each feature, run the verification steps in AGENTS.md, fix what they find, and tell me what you built and what comes next.
## Rules
- Ask me before you add a dependency, delete a file, or change sign-in, billing or the admin panel.
- Leave the parts of the kit this product doesn't use as they are.
- If apps/native is not in your copy (the Starter plan), build the web app only.
Done when every first-version feature works for a signed-in team and the AGENTS.md checks pass.
